Position Overview

The Office Manager is responsible for ensuring smooth daily operations by managing client communications, preparing job paperwork, assisting with employee hiring processes, and overseeing benefits administration. This role also involves interfacing with all staff levels and assisting with administrative tasks to support the management team. Hours are Monday – Friday – 8:30 – 3:30

Key Responsibilities

  1. Client Communication:
  2. Answer incoming and outgoing phone calls with professionalism and friendliness.
  3. Confirm client appointments and follow up on claims to ensure timely resolutions.
  4. Assist in converting potential leads into clients through excellent communication.
  5. Manage client chatbox, providing estimates and addressing customer questions and concerns.
  6. Assist with same day appointment requests, coordinating with operations.
  7. Job Preparation:
  8. Prepare and organize daily paperwork and schedules for the following day’s jobs.
  9. Ensure the proper documentation is ready for the team each day.
  10. Team Support:
  11. Assist with interviews and hiring of new employees, providing a positive first impression of our company.
  12. Manage employee information, benefits, and related documentation.
  13. Collaborate closely with the Owner, General Manager, and Operations Managers.
  14. Administrative Duties:
  15. Maintain records and databases for personnel, financial, and operational data.
  16. Manage office supplies and ensure stock levels are adequate.
  17. Organize special team functions, social events, and travel arrangements.

  1. Highly organized and detail-oriented, with the ability to multitask in a fast-paced environment.
  2. An excellent communicator, both verbally and in writing, with a customer-first mindset.
  3. A self-motivated problem solver who takes the initiative and handles unexpected challenges with ease.
  4. Familiar with Microsoft Office Suite (Word, Excel, and PowerPoint), Google sheets and comfortable learning new systems.
  5. Experienced in administrative or customer service roles (preferred but not required).


Qualifications

  1. High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  2. Previous experience in administrative support, sales, or customer service is a plus.
  3. Strong interpersonal and time-management skills.
  4. Ability to prioritize tasks and work with minimal supervision.
